Designing Content Governance on your Intranet

Even if you don’t know what content governance is, it’s likely that it exists in some form in your day to day. Put simply, content governance refers to how content is managed and maintained across your organisation. Its purpose is to ensure that all your content (regardless of whether it’s internal or external) is correct and adheres to the most up-to-date style guide and legal requirements. Designing content governance refers to the content life cycle, from creation to publication to ongoing maintenance.

  • Implement your new design immediately and apply to new and outgoing content. Set up a process from creation to publication that assigns ownership and requires approval at each stage of the content life cycle. This will ensure consistency across your organisation.  
  • Automate your review process, ensuring all old content is reviewed regularly to ensure all information is relevant and up to date. For example, policies, procedures and forms should be reviewed every 5/6 months to check that legal wording is appropriate.
