Automating Document Creation with Power Automate

It can take weeks, months, and even years for organisations to identify pain points within their processes. It could be outdated software that isn’t offering the same high performance it once did. Perhaps it’s becoming clear that your team needs a new way to collect and share information. One of the biggest pain points that our clients bring to us is that it takes too long to manually create and input data into documents. In these scenarios, we propose a simple solution: have you considered automating document creation with Power Automate?

Power Automate is part of Microsoft’s extensive suite of productivity tools, and therefore integrates with many of the other apps. It exists to simplify the task of document creation by setting up templates that approved users can personalise. It also allows for data to be pulled from associated Sheets or other sources to automatically fill forms. Designed to streamline the process and create a single point of truth that organisations can rely on, Power Automate is a leader in automating document creation.

Why should organisations automate document creation?

There are several reasons why we suggest Power Automate for document generation to our clients.

Time saving

It’s becoming more common for organisations to approach us with a desire to automate document creation. They know that they’re wasting valuable time with manual styling and data entry. They’re also aware that their employees’ time is better spent communicating with clients, making sales, and providing a service.

Consistency

Creating and sharing documents through Power Automate ensures consistency. For example, Power Automate can be used to create and autofill contracts. This means they will be identical in design, Legal terminology, and company details – the only alterations needed are client details and the scope of the work being agreed to. Your Legal department will sigh with relief knowing that the T&Cs will be automatically published on every document and can’t be messed with. And with permissions settings, they can rest assured that nobody can adjust vital information. Users will only get the finalised PDF if that’s what you want.

Manage permissions

As mentioned above, Power Automate allows you to set permissions on a template document. Using the contract example, you can create a template that can only be altered by certain people or departments. This should give you more confidence that important documents, including policies and Terms of Agreements, only contain approved wording.

Single point of truth

We often see companies who are struggling with the back and forth of collecting client information and signatures, which opens the possibility of multiple versions and errors. With Power Automate, your documents are generated and stored in a specific location where unauthorised people can’t make changes. Integrating with SharePoint makes this process simple.

Steps for document creation in Power Automate

  1. Someone fills in the document generation form (client details, job scope, etc.) and hits submit.
  2. An automated process begins to generate the document, then it is uploaded to your nominated SharePoint folder. This step may expand if your document requires levels of approval. It could be as simple as sign off from a manager, or multiple people to approve risk level, client info, legal, etc.
  3. Once approved, the document is then sent via email to the intended recipient.
  4. After the document has been signed (Power Automate accepts Adobe Sign and DocuSign), it can be stored in a safe location.

Power Automate for mobile

Giving people the power to create and receive automated documents on the go is a real win for productivity. Power Automate gives you the option to create a tablet and smartphone layout so that people build or sign contracts, generate or receive quote information attached to an email, and more.

Power Automate does require a premium license, but there are ways to mitigate that so there’s not too much extra cost – which is where Propelle can help.
